Executive Assistant To Chief Executive Officer in Jackson Hole, WY

Jacques Marie Mage is expanding and looking for an Executive Assistant for its location in Jackson, Wyoming.

Your responsibilities are – but not limited to:

  • Managing the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters
  • Providing administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf
  • Coordinating travel arrangements (both domestic and international) and creating trip itineraries
  • Maintaining comprehensive and accurate corporate records and reports
  • Taking dictation and minutes and writing them up subsequently
  • Organizing meetings and travels, including scheduling, sending reminders and organizing catering or any other necessary tasks for meetings when necessary
  • Acting as the point of contact between the executives and internal or external colleagues
  • Handling correspondence directed to managers
  • Answering important executive phone calls in a polite and professional manner and accurately taking messages
  • Welcoming visitors to the office
  • Using various software, including word processing, spreadsheets, and presentation software to prepare PDF reports and/or special projects
  • Performing minor accounting and bookkeeping duties

Required Skills and Experience:

  • 1-2 years of administrative assistant experience
  • Excellent verbal and written communication skills
  • Strong interpersonal skills
  • Exceptional attention to detail
  • Capability of working with a sense of urgency and able to follow through
  • Time management and ability to meet deadlines
  • Ability to treat confidential information with appropriate discretion
  • Ability to multitask and prioritize tasks
  • Excellent time management skills
  • Very strong organizational skills and ability to multitask
  • Problem-solving and decision making skills
  • Ability to act as gatekeeper and escalate relevant information to executives as needed
  • Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors).

  • Full Proficiency in Microsoft Office
  • Able to create strong presentation in PDF format
  • Willing to travel to Los Angeles Headquarters and abroad
